Terms of Service

Last updated 15 October 2026

1. Who we are

Trade Flow ("Trade Flow", "we", "us") is an Australian business that provides online quoting software for tradespeople. When you use Trade Flow you are contracting with the business that operates under the trading name Trade Flow. You can reach us at support@tradeflow.com.au.

2. Acceptance

By creating an account or continuing to use Trade Flow, you agree to these Terms. If you use Trade Flow for a business, you confirm you have authority to bind that business. You must be at least 18 years old.

3. The service

Trade Flow lets you record voice memos or notes about a job, uses artificial intelligence to draft an itemised quote, lets you send a link so your client can review and approve the quote, and helps you track quotes and deposits. We give you a limited, non-exclusive, non-transferable right to use the service within your selected plan.

4. Your account

  • Keep your login details confidential. You are responsible for all activity under your account.
  • Give accurate information and keep it up to date, including your business details and ABN shown on quotes.

5. Acceptable use

You must not misuse Trade Flow. In particular you must not:

  • use it for anything unlawful, fraudulent or misleading, including false or deceptive quotes;
  • send spam or unsolicited messages through it;
  • infringe anyone's intellectual property or privacy rights;
  • interfere with its security, including introducing malware, probing for vulnerabilities, scraping, or circumventing technical limits;
  • reverse engineer, resell or redistribute the service;
  • use the AI features to create illegal, hateful, harassing or deceptive content, impersonate others, or attempt to bypass safeguards ("jailbreaking").

6. AI-generated content

  • You are responsible for the notes and recordings you provide, and you must have the right to use them.
  • AI drafts can be inaccurate, including prices, quantities and descriptions. You must review and correct every quote before sending it. Quotes are your offer to your client, not ours, and are not professional, legal or compliance advice.
  • As between you and us, you own your inputs and the quotes you create. You give us a limited licence to host and process your content only to provide the service.
  • We may remove or restrict content, refuse or filter outputs, or suspend accounts that breach these Terms. If you believe content on Trade Flow infringes your rights, email us and we will investigate. Repeat infringers will lose access.

7. Our intellectual property

We own Trade Flow and all related software, documentation and branding. Nothing in these Terms transfers that ownership to you.

8. Payments, subscriptions and taxes

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. Payment, billing, renewal, tax, cancellation and refund terms are set out in Paddle's Buyer Terms. Plans renew monthly until cancelled. Free trials convert to a paid plan unless cancelled before the trial ends. See our Refund Policy.

Deposits your clients pay you for jobs are between you and your client.

9. Service availability

We work hard to keep Trade Flow running, but we do not guarantee it will be uninterrupted or error-free. To the fullest extent permitted by law, we exclude all implied warranties, including merchantability and fitness for a particular purpose. Nothing in these Terms excludes rights you have under the Australian Consumer Law that cannot be excluded.

10. Liability

To the extent permitted by law, our total liability to you is limited to the fees you paid us in the 12 months before the claim, and we are not liable for indirect or consequential loss, including lost profits, data or goodwill. This does not limit liability for fraud, death or personal injury caused by negligence, or any liability that cannot be limited by law.

11. Indemnity

You agree to cover any claims against us arising from your content, the quotes you send, your unlawful use of the service, or your breach of these Terms.

12. Suspension and termination

We may suspend or end your access if you materially breach these Terms, fail to pay, create a security or fraud risk, or repeatedly or seriously breach our policies. You can stop using Trade Flow and cancel at any time. After your account ends you will have 30 days to request an export of your data, after which we may delete it.

13. General

  • These Terms are governed by the laws of New South Wales, Australia, and the courts of that state have jurisdiction.
  • You may not transfer your account without our consent. We may transfer these Terms as part of a merger, acquisition or sale of the business.
  • We are not responsible for delays caused by events beyond our reasonable control.
  • We may update these Terms and will notify you of material changes.
